Use the same travellers and nights

Name the party, dates, origin, destination and room requirements before collecting quotes. Compare the total unit your party needs, rather than mixing per-person fares and room totals.

Choose a comfortable spending ceiling

Set a whole-party limit before gathering quotes. Keep actual transport and accommodation prices separate from the meal and contingency allowances you choose. Revise the destination, night count or activities if the complete plan exceeds the limit.

Put a whole trip on one sheet

Use this worksheet before comparing individual fares. Enter live quotes for your dates in GBP, record when you checked them, and leave anything you have not priced blank. A blank means the comparison is unfinished; it does not mean zero.

Start by naming the travellers and the shape of the break: origin, destination, departure window, return window, nights and room requirements. Compare the same party throughout. A room total and a per-person fare need different treatment, so label each input before adding it.

Scroll the worksheet horizontally to read all columns on a narrow screen.

Keep quoted costs separate from allowances

Use the amount shown for your actual party, dates and selection. If a quote is in another currency, record the original amount alongside your GBP conversion assumption and any payment costs you know apply. Recheck the payable amount before committing.

Give meals, unbooked activities and contingency their own planning allowances. Those entries express what you are willing to spend; they are not researched local prices. Do not describe a trip as costing the worksheet total while substantial rows remain allowances or blanks. Keep a second subtotal for confirmed quotes if that helps you see the uncertainty.

For accommodation, write down whether the selection is a room, a bed or another unit, how many people it covers and which nights it includes. For transport, note whether the amount covers one direction or the return. Avoid adding the same transfer twice when it already appears within another selection.

Compare the usable weekend as well as the total

Add a simple time note below the money table: expected arrival at your accommodation, planned first activity, time you need to leave for the return journey and any rest you want after travelling. Leave space for delays instead of assigning every minute to an attraction.

Then identify the expense that changes the decision. It may be an extra night, a transfer, a room arrangement or a departure that needs a day off. Compare two complete versions of the break with that difference visible. Our Friday or Saturday departure guide shows how to test the extra-night decision without assuming a timetable.

Choose a ceiling before booking

Write down a maximum comfortable whole-party spend and the amount you are prepared to put at risk if plans change. These are different decisions. Inspect the selected fare and accommodation terms for payment timing, change conditions, cancellation conditions and arrival requirements. Save the terms you actually selected with your booking records.

If the current quotes exceed your ceiling, change one assumption at a time: the destination, night count, activity list or departure window. Rebuild the full total after each change. A lower transport quote alone is not enough to accept the revised trip.

Use the London or Manchester reading list to choose a break to cost. Compare the four rail routes before collecting the quotes for your chosen dates.
